Privacy Policy

Last updated 10 September 2026. This policy explains how UK TAX Consulting Limited, trading as Northstead Tax Advisory, handles personal information connected with enquiries, tax-review services and use of this website.

1. Who is responsible for your information

UK TAX Consulting Limited is the controller of personal information collected directly through this website and in connection with enquiries made to Northstead Tax Advisory. The business address is 40 Chadwick Close, Northfleet, Gravesend, Kent, DA11 8SB. Privacy enquiries can be sent to [email protected] or raised by telephone on +44 147 4589513.

Northstead Tax Advisory is the trading style used for the tax-review service described on this site. Where another organisation processes information for a defined service, its role depends on the facts and the contractual arrangement. We remain responsible for providing appropriate transparency about our own processing.

2. Information we collect

When you submit a preliminary tax-check request, we collect the information you enter, such as your name, email address, telephone number, general profile and the description of the tax question you want reviewed. If the enquiry develops into a substantive engagement, we may later request information reasonably necessary to understand your tax position, such as employment and pension records, tax code notices, income records, details of relevant allowances or reliefs, and correspondence connected with the matter.

We may also process technical and usage information generated when the site is visited, including browser and device information, referral information and cookie preference information. Where optional analytics or advertising measurement technologies are used, they are subject to the consent requirements described in our Cookie Policy and are not intended to be activated before the required consent is obtained.

3. Why we use personal information and our lawful bases

Enquiry information is used to assess your request, decide whether the subject matter is within scope and respond to you. This processing is generally necessary to take steps at your request before entering into a contract. Where you later instruct us to provide tax-review or related services, information is processed as necessary to perform the agreed service and administer the client relationship.

We may process information to meet legal, regulatory, accounting or professional obligations that apply to the business. We may also rely on legitimate interests for proportionate business administration, security, fraud prevention, quality control and the establishment or defence of legal claims, provided those interests are not overridden by your rights. Consent is used where the law requires it, including for non-essential cookies or similar technologies and for any optional direct marketing that depends on consent.

4. Tax information and potentially sensitive material

Tax records can contain detailed financial information and may occasionally reveal other private facts. We ask you to provide only information that is relevant to the agreed question or service. The website enquiry form is designed for an initial description of your circumstances and should not be used to send passwords, HMRC sign-in credentials or unnecessary sensitive information.

If a later engagement requires documents that contain special-category personal data or information about other people, the handling of that information will depend on the purpose, necessity and applicable legal basis. You should avoid providing information about another person unless it is relevant and you are entitled to provide it.

5. Sharing information

Personal information may be shared with service providers that support hosting, communications, document handling, security or professional administration where this is reasonably necessary and subject to appropriate contractual and confidentiality safeguards. Information may also be disclosed where required by law, a court, a regulator or a competent authority, or where necessary to protect legal rights.

If a client separately authorises formal tax-agent work, information may be communicated to HM Revenue & Customs or another relevant authority to the extent required for the agreed service. A website enquiry alone does not create that authority. We do not ask clients to provide their personal HMRC sign-in credentials.

6. Advertising referral and measurement data

You may reach this site from sponsored content distributed through an advertising platform. Referral information can indicate the campaign or source that led to the visit. Where campaign measurement technology such as a Taboola Realize Pixel is enabled, Taboola may process browser, device or interaction data for permitted advertising and measurement purposes as an independent controller, subject to applicable privacy law and the required transparency and consent.

Non-essential advertising measurement should not be activated until the required consent has been obtained. If no such technology is enabled, the site can still receive ordinary referral information contained in the browser request or URL. You can review and change your site cookie choice using the Cookie settings control in the footer.

7. International transfers

Some technology providers may process information outside the United Kingdom. Where personal information is transferred to a country that is not covered by UK adequacy regulations, we take steps intended to ensure an appropriate transfer mechanism is used where required, such as approved contractual safeguards together with any additional measures considered necessary for the circumstances.

The applicable safeguards depend on the provider, the data involved and where it is processed. You may contact us if you want more information about the transfer safeguards relevant to your personal information.

8. Retention

Preliminary enquiry records are ordinarily kept for up to 12 months after the last meaningful contact where no engagement follows, unless a shorter or longer period is justified by the circumstances. Client and service records may be retained for up to six years after the end of the relevant engagement, or longer where this is reasonably required by law, tax obligations, professional duties or the establishment, exercise or defence of legal claims.

The first-party cookie used to remember your cookie preference is set for up to 180 days. Retention periods for optional analytics or advertising technologies depend on the provider and configuration in use. We review retention by reference to necessity, legal requirements, the sensitivity of the information and the purpose for which it was collected.

9. Security

We use organisational and technical measures intended to protect personal information against unauthorised access, accidental loss, alteration or disclosure. Access to client and enquiry information is limited according to business need, and service providers are expected to use appropriate safeguards for the information they process.

No transmission or storage method can remove every risk. For that reason, the initial form asks for a concise description rather than a full tax file. If further documents are required, the appropriate method and scope can be discussed before they are provided.

10. Your rights

Depending on the circumstances and lawful basis, you may have rights to access your personal information, correct inaccurate information, request erasure, restrict processing, object to certain processing and receive information you provided in a portable format. Where processing relies on consent, you may withdraw that consent without affecting the lawfulness of processing carried out before withdrawal.

You also have the right to complain to the UK Information Commissioner if you believe your data-protection rights have been infringed. We encourage you to raise a concern with us first so that we can understand the issue and try to address it.

11. Changes to this policy

We may update this policy when our services, technology or legal obligations change. The date at the top of the policy indicates the latest published version. Material changes that significantly alter how personal information is used may be brought to attention through an appropriate notice.

Questions about this policy or the handling of personal information can be directed to UK TAX Consulting Limited using the contact details stated above.

Tax outcomes depend on individual facts, current legislation and the completeness of information provided. A review may identify questions, corrections, reliefs or future obligations, but it does not guarantee a refund, a reduction in tax or any particular financial result. Any filing, formal representation or paid follow-on work is agreed separately after scope and supporting records have been reviewed. Clients remain responsible for providing accurate and complete information and for meeting statutory deadlines unless a written engagement states otherwise.
